We are seeking a highly organized and motivated Office Assistant to join our team at Muth & Company Roofing. This position requires strong administrative skills, excellent customer service, and the ability to assist with the day-to-day operations of our office. The ideal candidate will be detail-oriented, friendly, and adaptable to a fast-paced work environment.
Key Responsibilities:
- Administrative Support:

- Answer phones, take messages, and direct calls to appropriate staff.
- Schedule appointments and maintain calendars for sales representatives and field crews.
- Prepare and organize documents, contracts, and project files.
- Assist in the preparation of quotes, invoices, and other related paperwork.
- Manage and respond to customer inquiries via phone, email, or in person.
- Customer Service:

- Provide excellent customer service, addressing customer questions and concerns in a timely manner.
- Follow up on leads and requests, ensuring customer satisfaction throughout the process.
- Data Management & Record Keeping:

- Maintain accurate and organized filing systems (both digital and physical).
- Input data into software systems and ensure records are up-to-date.
- Track project timelines, payments, and ensure invoicing is completed promptly.
- General Assistance:

- Assist the team with any other administrative duties as required.
Skills and Qualifications:
- High school diploma or equivalent.
- Previous experience in an office assistant or administrative role (experience in the construction or roofing industry a plus).
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Excellent organizational skills and attention to detail.
- Knowledge of basic accounting or bookkeeping is a plus.
- Strong problem-solving skills and ability to work independently and as part of a team.
Working Conditions:
- Full-time, Monday to Friday.
- Occasional overtime may be required during peak seasons.
- Occasionally less hours in the winter months
- Ability to work in an office setting with occasional interaction with field crews.
